Your data policy, your choice

Keep certificate uploads with staff verification, or record only the check details and dates.

At a glance

Who is cleared, who is due, who is missing.

Each volunteer's checks show their type, dates and status, with a green Live badge when someone is both trained or checked and in date.

  • Background checks your way DBS Basic, DBS Enhanced or your own check type, with check and expiry dates.
  • First aid whether trained, the training date, type and expiry.
  • Expiry labels showing Expired, Expiring soon (within 30 days), Valid or Not set.
  • Reminders to the volunteer and your staff while a check is due, repeated at most once a week. Staff can turn them off for themselves until the date changes.
Certificates

Volunteers upload. Your team verifies.

Volunteers add a photo or scan of a certificate from their phone. It shows as awaiting verification until a member of staff checks it.

  • Uploaded by the volunteer from their own portal, or by staff on their behalf.
  • Verified by staff with Verified, Awaiting verification or No certificate uploaded shown on the record.
  • One-click nudges by email and in-app notification when nothing has been uploaded.
  • No certificates if you prefer Choose to record DBS check results and dates only, and Volunteeria removes certificate upload altogether.
Plainly put

What it does, and doesn't.

Volunteeria keeps track of checks and certificates, and reminds you when they are due. It does not apply for DBS checks for you, and it is not connected to the DBS update service, so you still carry out checks in the usual way and record the results here.
