Know who is ready
for what.

Some work needs more than willingness. Set up roles such as Driver or Befriender, record who your team has approved, and Volunteeria makes sure only approved volunteers are assigned to the work that needs them.

  • See everyone's progress from Interested to Preparing to Approved, with the next step shown for each person.
  • Link onboarding to a role. Require it to be finished first, and even approve people automatically the moment they finish.
  • Or trust experience. Keep onboarding as guidance, and let your team approve people who are already qualified.
  • Protect the right tasks. Tasks that need a role only accept approved volunteers, and approvals can have an expiry date.
  • Advertise opportunities. Volunteers can say they are interested from their own portal.
Rota planning

Plan the rota
before anyone is asked.

Events and busy weeks take planning. Sketch out shifts privately, shortlist who might cover them, check the right people are in place, then invite everyone at once when you are ready.

  • Private drafts. Only staff can see a draft rota. Volunteers see nothing and nobody is notified or emailed.
  • Shortlist potential volunteers for every date or just one, with a private note such as "can drive".
  • Essential role cover. Make sure each shift has a keyholder, driver or first aider, with a clear warning when a date falls short, even when enough people are confirmed.
